Voicemail with Email & AI Transcription
3CX voicemail - voicemail to email, AI transcription and one-line summary (PRO and AI Edition), per-extension and per-queue mailboxes, after-hours rules. Included in every edition.
What you get
- Voicemail to email - audio attachment delivered to whichever email address you choose.
- AI transcription (PRO and AI Edition) - every voicemail auto-transcribed with a one-line summary in the email subject.
- Multiple greetings per mailbox - business hours, after-hours, holiday, on-leave.
- Per-queue mailboxes - sales@ voicemails go to a shared inbox.
- Forwarding - forward a voicemail to a colleague’s extension or external email.
- Search (PRO and AI Edition) - find any voicemail by content via AI transcripts.
Why the AI transcription matters
The biggest day-to-day win in 3CX PRO is something this simple: every voicemail comes with text. You scan the summary, decide whether to play the audio or just call back, and move on. For sales teams, the second-order effect is that voicemails actually get actioned the same day instead of “I’ll listen tonight”. Lead response times drop measurably.

Mailbox patterns we deploy often
- Per-staff - every extension has its own mailbox, voicemails to their email.
- Shared sales -
sales@mailbox; voicemails to whichever rep is on duty + a shared inbox copy. - After-hours support -
support@mailbox routes to the on-call rotation; transcripts pushed into the helpdesk. - Bookings/reception -
bookings@voicemails parsed by AI and emailed to reception with the appointment details extracted.
Common questions
Do I have to dial in to listen?
No. Every voicemail arrives as an audio attachment in your email. You can listen on any device, forward, save or delete. With AI transcription (PRO and AI Edition) you can usually skip the audio entirely and read the transcript.
Can I have a different greeting after hours?
Yes. Each mailbox can have multiple greetings - business hours, after-hours, lunch break, holiday - and 3CX plays the right one based on time-of-day rules.
Where do voicemails go for shared mailboxes?
Queue mailboxes (e.g. sales@) can send the email to multiple addresses, or to a shared inbox. The first person to action it marks it read; everyone else sees the read receipt.
Can I make voicemails fully searchable?
Yes - on PRO and AI Edition, the AI transcripts are indexed and searchable across all voicemails. Find any voicemail by what was said, not just who left it.
Want voicemail that actually gets read?
Turn on AI voicemail transcription with PRO or AI Edition. Most customers' biggest 'I love this' moment in the first week.
